HOW ADMINISTRATORS AT THE VARIOUS GROUPS CAN APPROVE A REQUEST TO JOIN:
To approve anyone's request to join We are Women March- California, visit the Requests section at the top of your group:
For groups with multiple admins
If you don't see the option to add someone, another admin may have already handled this request.
Proposed Organizational Structure and Task List
This structure should be in place for each event.
1. Logistics Committee
Chair (Have permit copies on hand Event Day): Name Here

- Select Location & secure Permit for march and rally
- Create Timetable and calendar for event planning
- Secure Toilets
-Locate or build suitable stage
-Line up Chairs for speakers/entertainers
-Construct/Bring Podium

-Get Sound system- sufficient microphones for musicians
- Line up Nurse/doctor and first aid equipment (ambulance for very large rally)
- Day of Event: If location not obvious, put up signs or station people to direct participants
- Create Clean up Crew: Have trash cans available at site, Bring bags and brooms to help collect trash
First -Aid
2. March Route Committee (Most Responsibilities are on day of):
Chair (Be Event Day Person for check-in & overseeing of March): Name Here

- Go over route (by walking) and check for: Rest stops (if a long march), breaks because of traffic signals how long it takes; don’t make it too long or you’ll lose people
- Coordinate with Logistics Committee to get Street permits (if not walking on sidewalks) and sound permits
- Line up vehicles or bicycles to carry medical equipment, sound equipment (if needed), and leaflets
- Create a crew of People to leaflet during march
- Determine Line of march- if arranging march by constituency, issue, organization, etc., have signs and people to mark off each segment
- Coordinate with Fundraising Committee to have Money collection- barrels across line of march
- Assembly- allow for half hour to assemble; for large march, allow 1 hour
- Determine Location of legal observers, placed along the march
- Coordinate with Peacekeeping committee as they will aid in directing march, helping pace it, and distracting any hostile onlookers away from march
- Create Communication system so line of march can operate smoothly (e.g., using runners, bicyclists, roller skates, walkie talkies)
- Determine if there will be amplified sound at march or chanting/bullhorns.
-Line up Chant leaders and chants, musicians and/or sound equipment for march

3. Crowd Control/ Peacekeeping Committee (Most Responsibilities are Day of):

For large rallies, organizers must be prepared to deal with the usual needs of crowds:
- Guiding people to and from the site
- Providing information (medical, buses, etc.)
- Minimize crowding

- Aid in directing march, helping pace it, and distracting any hostile onlookers away from march
- Assemble legal team/observers & security
- Set up training sessions for peacekeepers
- Work with local police/sheriffs
4. Communications Committee

- Get Prominent individuals to endorse & "legitimize" the rally and attract people - individuals that wouldn't give money to the event, like political leaders
- Publicize route and timetable for event (noting breaks for people to join late)
- Line up radio stations to broadcast at event
- Line up videographer to live stream event online
Social Media:

Duties:
- Create presence online by generating social media via facebook, twitter, etc on major blogs and other online press outlets
-Reach out to local feminist bloggers
-Publicize event on hyper local blogs
- Publicize route and timetable for event (noting breaks for people to join late)
- Post pictures, video of event afterwards
- Address trolls on FB page
- Keep up Twitter Feed
- Allow for check-in/four square at event
5. Outreach Committee
Chair (keep track of all outreach efforts to ensure efforts aren't duplicated in some areas and neglected in others; facilitate Small Town Representative's outreach plan):

- Distribute flyers & posters in community, promoting event.
- Connect with student & campus groups, political organizations, unions, occupies, clinics, churches, etc to get attendees to event
- Upload event flyer to website for people to easily download and share with their community
- Publicize route and timetable for event (noting breaks for people to join late)
- Gather mailing list for fund appeals and future actions
- Line up a Campus Organizer on each major campus & assist their efforts to get the word out and people to event
- Line up volunteers for committees, especially Day of Event Duties!
Outreach Subcommitee:

Duties:
A local go-to representative for the march for your town or organization. You know your community best, so fill the needs as you see fit.
- Outreach to your community
- Create localized leaflets with your contact information
- Host meetings and build your own local committees (outreach, fundraising, transportation & lodging) for the march or connect interested people into the broader, event- based committees
- Assemble teams willing to volunteer on the day of the event
- Co- ordinate closely with the event-based committees
- Create regional team signage at the march, i.e. shirts that say, "Monterey Bay is Stopping the War on Women!"
6. Stage Program

- Negotiates group rate/discount on Amtrak, Greyhound or local transportation agencies.
- Stay in regular contact with carpoolers from all over the state.
- Work closely with Housing/Lodging Committee to share needs/requests from carpoolers/caravaners
8. Housing/Lodging

- Negotiate group rates at local hotels/hostels in event city
- Connect with local couch surfing communities (couchsurfing.org) and other low-cost lodging to ask for help hosting travelers
- Work with Social Media committee to publicize deals/lodging request on facebook, etc
- Work closely with Transportation Committee to share needs/requests from carpoolers/caravaners
9. Creatives Committee:

- Create any flyers/stickers/visuals needed for fundraisers, outreach, etc
- Line up videographers for event (stage, in the crowd) Follow up to create professional video of event
- Line up photographers for event (multiple)
- Organize a sign making party for the event
- Make banner(s) for stage with official slogans/name & decorate stage
- Other creatives: Make Plywood Figures with faces cut out for photo ops at Event, Coordinate Flashmob before event to draw attention to the march (i.e.: 5pm at K Street Mall in Sac the night before)
10. Fundraising Committee

- Raise money for the event
- Keep detailed financial records, including transactions and receipts
- Deposit money from sales and collections
- Put on fundraising events: raffles at schools or bars, bake sales, 'celebrity bar tender' nights with bars giving a portion of proceeds, bowl-a-thon, etc. Use your resources and connections
- Event Day: Get buckets (or bags) and trusted people to cover the audience during the fund appeal
- Event Day: Provide a safe place to hold, count, and transport money
- Event Day: Prepare & present rally fund appeal to event participants
- Get Prominent individuals to endorse & "legitimize" the rally and attract people and donate money to the event
- Create after party after event - at a local restaurant, bar, club, etc & ask for a portion of proceeds to go to event
- Follow up with thank you's to donors and fund appeals if needed
11. Tabling Committee:

Duties:
- Ensure permit reflects tabling needs
- Invite local/national groups to table at the rally
- Set up voter registration crew: people walking around, registering voters. Have a voter registration table.
- Set up booths for food and drinks, depending on permit- good way to raise money
- Host a table with event buttons, posters, T-shirts, follow-up leaflet, stickers, cheap or popular booklets & mailing list sign ups at key and visible locations
- Coordinate with Logistics Committee to get tables, chairs, signs, tape, string in advance (rent to others)
- Recruit people in advance to sell buttons/ give out stickers at event wearing Aprons/Shirts/Hats with buttons on them and price clearly visible. Have aprons hold change/ensure sellers can make change. Establish system to adequately cover crowd
- Coordinate with Logistics to cordon off an area for an Individual Speak-Out - a stage for ordinary women and men to speak out & discuss why there are here & share their stories.
13. Admin Committee:

-Participate in regularly scheduled meetings/conference calls to communicate with other Committee Chairs
- Each chair is responsible for ensuring the tasks in her/his committee get done

- Go over route (by walking) and check for: Rest stops (if a long march), breaks because of traffic signals how long it takes; don’t make it too long or you’ll lose people
- Coordinate with Logistics Committee to get Street permits (if not walking on sidewalks) and sound permits
- Line up vehicles or bicycles to carry medical equipment, sound equipment (if needed), and leaflets
- Create a crew of People to leaflet during march
- Determine Line of march- if arranging march by constituency, issue, organization, etc., have signs and people to mark off each segment
- Coordinate with Fundraising Committee to have Money collection- barrels across line of march
- Assembly- allow for half hour to assemble; for large march, allow 1 hour
- Determine Location of legal observers, placed along the march
- Coordinate with Peacekeeping committee as they will aid in directing march, helping pace it, and distracting any hostile onlookers away from march
- Create Communication system so line of march can operate smoothly (e.g., using runners, bicyclists, roller skates, walkie talkies)
- Determine if there will be amplified sound at march or chanting/bullhorns.

- Guiding people to and from the site

- Aid in directing march, helping pace it, and distracting any hostile onlookers away from march

- Set up training sessions for peacekeepers

- Assemble teams willing to volunteer on the day of the event

10. Fundraising Committee

- Raise money for the event
- Keep detailed financial records, including transactions and receipts
- Deposit money from sales and collections
- Put on fundraising events: raffles at schools or bars, bake sales, 'celebrity bar tender' nights with bars giving a portion of proceeds, bowl-a-thon, etc. Use your resources and connections
- Event Day: Get buckets (or bags) and trusted people to cover the audience during the fund appeal
- Event Day: Provide a safe place to hold, count, and transport money
- Event Day: Prepare & present rally fund appeal to event participants

- Create after party after event - at a local restaurant, bar, club, etc & ask for a portion of proceeds to go to event

11. Tabling Committee:

- Ensure permit reflects tabling needs
- Invite local/national groups to table at the rally
- Set up voter registration crew: people walking around, registering voters. Have a voter registration table.
- Set up booths for food and drinks, depending on permit- good way to raise money
- Host a table with event buttons, posters, T-shirts, follow-up leaflet, stickers, cheap or popular booklets & mailing list sign ups at key and visible locations
- Coordinate with Logistics Committee to get tables, chairs, signs, tape, string in advance (rent to others)
- Recruit people in advance to sell buttons/ give out stickers at event wearing Aprons/Shirts/Hats with buttons on them and price clearly visible. Have aprons hold change/ensure sellers can make change. Establish system to adequately cover crowd
- Coordinate with Logistics to cordon off an area for an Individual Speak-Out - a stage for ordinary women and men to speak out & discuss why there are here & share their stories.
13. Admin Committee:
